What will you be doing?
As an External Hire Controller, you will be responsible for the day-to-day management of externally hired plant and fleet assets, ensuring customer requirements are fulfilled efficiently and accurately whilst maintaining high levels of service and operational control.
Working closely with suppliers, operational teams and internal stakeholders, you will coordinate on-hires, off-hires, exchanges, breakdowns and billing amendments, ensuring all system records remain accurate and up to date. You will play a key role in supporting operational delivery by managing external hire activities, minimising downtime and ensuring compliance with company processes.
Key Responsibilities
- Manage external plant and fleet hire requests, ensuring requirements are met within agreed timescales.
- Process new external hire orders for both plant and fleet equipment.
- Manage off-hire notifications and collections.
- Coordinate and resolve failed deliveries and collections with suppliers and customers.
- Coordinate vehicle and equipment breakdowns, replacements and associated supplier communications.
- Manage damage notifications and acceptance processes for externally hired fleet and plant assets.
- Process amendments to driver names, team names and customer details.
- Update vehicle registration numbers (VRNs), asset details and system records following exchanges or changes.
- Maintain accurate MID records and support data quality audits.
- Support telematics updates and asset tracking for cross-hired vehicles.
- Manage hire suspensions during holiday shutdown periods and other operational requirements.
- Build strong working relationships with suppliers, customers and internal stakeholders to ensure effective service delivery.
What You'll Bring
- Experience within plant hire, fleet hire, rental or equipment management.
- Strong administration and organisational skills.
- Excellent attention to detail and data accuracy.
- Strong communication and customer service skills.
- Effective problem-solving abilities.
- Experience with hire, fleet or ERP systems.
- Proficient in Microsoft Office, particularly Excel, Outlook and Word.
